How to Scan Documents with Your Phone So Offices Accept Them

Light, angle, background and file settings that turn a phone photo into a clean, readable scan for banks, embassies, universities and HR portals.

Why phone photos get rejected

Most rejected uploads have the same few problems: the page is photographed at an angle so the text looks trapezoid-shaped, the desk or fingers are visible around the paper, a shadow from the phone or a hand darkens one corner, or the photo is soft because the camera focused on the background.

Offices rarely say “your scan is bad”. They ask you to upload again, or a clerk cannot read a number and the application waits. A few seconds of care when taking the photo saves that round trip.

Take the photo the right way

You do not need a scanner. You need even light and a contrasting background.

  1. Put the page on a dark, plain surface (a dark table or a folder). The edge of white paper on a dark background is what lets the app find the page automatically.
  2. Use daylight from a window or a ceiling light. Avoid the phone flash on glossy cards: it leaves a white glare spot over the text.
  3. Hold the phone straight above the page, parallel to it, so the whole page fills most of the screen with a small margin of table around it.
  4. Tap the screen on the text to focus, wait a moment, then take the photo. Check that small print is sharp when you zoom in.
  5. For a two-sided card, photograph the front and the back separately, on the same background and in the same light.

Let the scanner crop and flatten it

Open Scan to PDF and add the photo. ScanifyAI finds the four corners of the page, straightens the perspective so the page becomes a true rectangle, and cleans the background so the paper looks white and the text dark. If a corner was missed, choose Adjust corners and drag it to the paper edge.

Pick the filter for the document: Lighten for ordinary letters and forms, Color for ID cards, certificates and anything with stamps or photos, B&W for a sharp photocopy look and the smallest file. The photo is processed on your phone or computer; it is not uploaded.

Save in the format the office asks for

If the portal asks for a PDF, download a PDF. If it asks for an image, download a JPG. When several pages belong together (all pages of a contract, front and back of a card), keep them in one PDF in the right order instead of uploading many separate photos.

Before you upload, open the file once and read the important numbers yourself: names, dates, ID and reference numbers. If you can read them easily, so can the office.
